Proactive Personnel are currently recruiting for a Business Travel Coordinator for a large tech company with a new office based in Manchester city centre.
What you’ll be doing
The role is full-time and varied. Your main focus will be on travel coordination. Based in the Manchester office you will provide a reception service, liaising with building management and the central facilities team to ensure that the office is fit to welcome our stakeholders and visitors. In addition, you will provide assistance to Executive Board Members in the management of their business diaries. Understanding the requirements of the role:
You will:
- Manage travel management for all UK based employees. This includes arrangement and co-ordination of all flights, accommodation, and ground transfers, in accordance with company policies and budgets
- Be responsible for transfers, hotel accommodation and restaurant bookings for all employees from global locations to the UK
- Investigate and arrange relevant visa requirements
- Be fully up to date with the latest COVID-19 guidelines and communicate changes and entry requirements to travellers
- Assist members of our Executive Management Board, in mailbox and business diary management, including planning and scheduling events as required.
- Undertake other administrative tasks as and when required – expenses, business cards, meeting arrangements internally and off-site
- Provide a reception service, including but not exclusive to ordering stationery, using the set process to book visitors into the Manchester office. Ensuring that the office is fit to welcome all stakeholders and visitors
- Welcome visitors to the Manchester office
- Ensure required office equipment is available
- Prepare meeting room for scheduled meetings
- Manage mail in and out of the office
The ideal candidate will have:
- Outstanding interpersonal communication
- The ability to juggle multiple tasks simultaneously
- Experience of coordinating corporate travel arrangements
- Experience using Outlook diary management
- Self-motivation and self-management
This role is a 14 month maternity cover position but could potentially move over to a permanent position in the company.
